This policy outlines the Foundation’s commitment to protect the privacy and confidentiality of our donors, volunteers and stakeholders.
This policy applies to information collected and transactions made on the Foundation’s websites, in person, over the phone or during off-site events and fundraisers.
The Foundation does not have access to any part of the health records of any patients from the Nova Scotia Health Authority.
The Foundation is responsible for keeping personal information confidential and applying it for the intended purposes. The Database Manager, as the Privacy Officer, is responsible for the Foundation’s compliance to this policy.
Personal information is any information that can be used to identify or contact an individual. This includes date of birth, address, phone number, e-mail address, health history, financial data, bank account numbers, opinions, and personal views. However, names, address and telephone numbers which are published in phone books or other public records and are not considered personal may be used to solicit potential donors for support.
Personal Information Collection and Use
When accepting donations and in working with volunteers, the Foundation collects information about these individuals. The privacy of all donors and volunteers is always respected. Personal information is only collected for the following purposes:
- To identify donors and volunteers
- To establish and maintain responsible relationships with donors and volunteers
- To properly recognize and thank donors and volunteers for their support
- To manage the Foundation’s business and operations, including tax receipting
- To understand the needs, concerns and opinions of our donor and volunteers
- To provide donors and volunteers with information to assist them in supporting our mission of strengthening healthcare for all Cape Bretoners
The Foundation collects information through donation forms (both online, in person and via phone), volunteer registration forms, personal interactions and correspondence.
Personal Information Disclosure
The Foundation does not share, sell, lease or trade donor information or mailing lists. Also, if a donor wishes to remain anonymous, he/she is marked anonymous in our database and will not be recognized publicly or in any print materials. Personal information about our donors is stored in a fundraising database, which can only be accessed through a password by an employee of the Foundation.
Internet Related Policies
The Foundation does not send unsolicited email. We only send emails to individuals/groups who are participating in Foundation events or have provided us with their email address. We do not share email lists or contacts with third parties.
We do not collect visitor information on our website, unless a donation is made. We do, however, track website usage stats to monitor trends on visits and page activity. This does not include the collection of any personal information.
Safeguards and Access
Personal information is kept in our electronic database, which is fully secured and password protected. If one wishes to be removed from mailing lists, email lists and/or phone lists or wishes to access their file, they simply need to contact the Foundation office at firstname.lastname@example.org.
Protecting the privacy and confidentiality of personal information is an important aspect of the way the Foundation conducts its business. Collecting, using, and disclosing personal information in an appropriate, responsible, and ethical manner is fundamental to the Foundation’s daily operations. The Foundation strives to keep personal information as accurate and up-to-date as possible.
Consent occurs and is obtained when an individual signs an application or other form containing personal information, thereby authorizing the Foundation to collect, use, and disclose the individual’s personal information for the purposes stated on the form. Implied consent is granted by the individual when he/she signs the application or form.
The Cape Breton Regional Hospital Foundation takes all complaints seriously, and will make it a priority to respond to all complaints by the end of the business day that they are received.
On receipt of a complaint, the Chief Executive Officer will determine if further action is required. A complaint may be dismissed if, in the opinion of the Chief Executive Officer:
• On its face, it is frivolous or invalid
• Is otherwise deemed inappropriate for consideration
• If the complaint is deemed valid, the Chief Executive Officer will further investigate the matter and recommend what action if any is needed
All complaints will be recorded and noted to the Board of Directors through the CEO’s report to the Board.
